RTA Web Best Practice: How to Use Work Order Templates

Is your shop utilizing our work order templates in our new web-based solution? If not, let us convince you that you should be. These provide flexibility that can help improve your fleet’s performance and save your shop valuable time.

3 main ways to use them include:

  1. PM Schedules: Routine maintenance jobs will use the same job code, part kit, notes and inspection every time that specific job is done. A Work Order Template for each PM job, grouped by asset type, can save hundreds of hours each year in defining work order details at the creation point. If your goal is to have preventive maintenance make up 50% of jobs, that means that for 50% of your created jobs, you’re only 1 click away from getting to work.
  2. Top 10% of Reactive Jobs: If you look back on your past 12 months of job codes, what are the non-PM jobs that you see the most often? For reactive jobs, you’re likely looking at more than a single job line. When done properly, you may have a Diagnostic labor line, 2-3 repair lines, and a test line or two for confirmation. Creating 5+ job lines on a single work order can be frustrating, but if those lines are already set for the most common jobs, now just apply the template and make small changes to notes or line details. This is called the “Low Hanging Fruit” method. I’d rather fix 10% of the work order details, than create 100% of them.
  3. DVIR Requests: While Driver Reports can spread far and wide in their details, RTA has smart features built in to remember past submissions and reactions. For instance, if an F-150 has a DVIR submitted for the AC not blowing cold and I apply a 001-001 VMRS code to it, the job is fixed. Now, the next time any F-150 comes in with the AC not blowing cold, RTA remembers that 001-001 code so you don’t have to find it again. Work Order Templates can also be applied in these cases to promote notes, part kits and additional lines if the failed inspection or driver request is an early sign of a bigger issue.
